So the call came from upper management, find employee monitoring software so they know what employees are doing and if they are being productive. This sounds simple enough, but then you start to test out solutions, and quickly realize that there is an overwhelming amount of data that can be recorded. How will you be able to handle your already full plate of day to day responsibilities and then add this to your list?
More often than not, the data that is recorded from employee monitoring software is immense and most of the products available today are somewhat effective at capturing the data, but fail with respect to making it meaningful and digestible to the users responsible for providing it to upper management.
Automation Is Key
When InterGuard was being developed, it was already a given there would be a lot of data to sift through, so automation needed to be a part of the product. We have been optimizing our automation so much that it’s really not even necessary to log in to the cloud based interface after you set things up.
Set Up Alerts and Notifications
Notifications are an alarm that something has occurred that needs your attention. You set up a key word alert (or web site category) based on your specific criteria and select the frequency you want to receive the email notifications and InterGuard will automatically let you know when something that you need/want to know about has occurred. There is no limit to the key words or categories to trigger a notification, so you can literally automate everything you want. With key word alerts, you also get a screenshot of whatever was on the monitor the moment the event was triggered. If you want to get in to the “weeds” on the notifications that you have set up, a link in the email will take you directly in to your InterGuard cloud based account and show you a deeper level of detail.
Alerts and notifications are only one part of the automation process that would be of benefit to organizations that need employee monitoring software.
Intelligent User Behavior Reporting Benchmarks
User Behavior Reports and Notifications help customers visualize standard user activity benchmarks, including number of emails sent/received, number of websites visited, number of IM/Chat conversations, number of files accessed or modified, and every other data recorder that is part of Interguard. For Example, let’s say that the average employee in the office sends 5 documents to the printer every day. With a few mouse clicks, you can create reports and receive notifications when current behavior deviates from the benchmark. This kind of intelligent reporting combined with notifications sent to you (or management) will immediately pinpoint employees that are productive or wasting valuable company time.
Deep Dive with Preset or Custom Reports
We understand that there is always a need to have high level automation to keep management in the loop, we also get that some will want to have data exports and sent to them in excel, pdf file, etc. We made the process easy, by providing users with the ability to create and email regular reports based on a myriad of data types or user/group activity. This can be accomplished by choosing one of our preset reports on each data type, or custom reports that can show you user/group activity by specific recorded data, or each user’s chronological daily activity, top 5 users by activity or user. Again, much like the other automations we have already discussed, you can choose the frequency of the report, and who you want to receive them.
When you take advantage of the key word alerts, user behavior data and custom reporting and notifications InterGuard provides, and couple that with the direct event triggered data within the system, you will drastically reduce the amount of time that you are managing the process to deliver what upper management needs/wants to see. In fact, you can even have notifications go directly to them and create their own privileged access to the account. This would effectively eliminate a greater majority of the day to day management of the product because you have set up the automation (which is incredibly easy) in a way that benefits you and management.
